Introduction to Keep Sailing Terms and Conditions

By booking a course with Keep Sailing, you agree to the following terms and conditions.

These cover everything from course fees and cancellations to our policies on bad weather and personal insurance. We strive to be flexible and accommodating, but please be aware of our refund and cancellation procedures, as well as your responsibility for personal insurance.

We aim to provide the best experience, but Keep Sailing reserves the right to modify course details, dates, or prices as needed. Please read these terms carefully to ensure a smooth and enjoyable experience.

Terms and Conditions of Booking with Keep Sailing

Course Fees

All course fees must be paid in full at the time of booking.

Cancellation Policy

Keep Sailing, or organisations we act as booking agents for, reserve the right to cancel a course if the minimum number of students has not been reached. In such cases, we will endeavor to offer a compromise, such as a shorter one-on-one course. If no alternative can be agreed upon, a full refund will be provided.

Refund Policy for Customer-Cancelled Courses/Events

We understand that plans can change, and we strive to accommodate your needs. Please review our refund policy below for courses/events cancelled by customers:

Cancellation 7 Days or More Before Course Start:

  • Full refund for cancellations made at any time from the booking date until 7 days before the course/event commencement.

Cancellation Within 7 Days of Course Start:

  • No refund will be provided unless the course/event is fully booked and there is a waiting list.
  • If we are able to successfully offer the place to someone on the waiting list, you will receive a refund minus a £25 administration charge.

To initiate a cancellation, please email info@keepsailing.co.uk. All cancellations must be confirmed in writing.

Terms and Conditions

  • All cancellations and booking transfers are subject to a £25 administration fee.
  • Bad Weather: Courses will proceed in most weather conditions, including rain. However, we reserve the right to cancel or reschedule a course if conditions are unsafe (e.g., extreme wind or unsuitable river conditions). In such cases, a full refund will be provided, or a pro-rata refund if part of the course has already taken place (e.g., if one day of a two-day course has been completed, a 50% refund will be issued).
  • If a participant misses any portion of a course due to illness or other reasons, Keep Sailing or the organisations we act as booking agents for are under no obligation to offer a course completion, refund, or booking transfer.
  • Personal Insurance: Course participants are responsible for obtaining personal insurance to cover circumstances such as missing the course, cancellation, curtailment, personal injury, accidents, or loss/damage to personal equipment.
  • Use of Personal Equipment: Participants using their own equipment do so at their own risk. Keep Sailing or the organisations we act as booking agents for accept no liability for damage or loss, and participants must ensure their equipment is appropriately insured and meets minimum buoyancy requirements.
  • Keep Sailing reserves the right to modify course details, dates, and prices without prior notice.
  • All course participants must complete a booking form with up-to-date medical and contact information before the course starts.
  • All course participants and accompanying visitors must adhere to relevant Bye-laws and/or the Code of Conduct.

Terms & Conditions – 3-Day RYA Courses Discount

  1. Limited Date Availability
    • The 3-day RYA courses are only available on the following dates:
      • Easter: 1st - 3rd April
      • May: 27th - 29th May
      • July: 9th - 11th July
      • October: 21st - 23rd & 28th - 30th October
    • Bookings outside these dates will not qualify for the 3-day course pricing.
  2. Booking & Payment
    • To receive the discounted rate, customers must apply the discount code “3DAY” at checkout.
    • Full payment is required at the time of booking.
  3. Incorrect Use of Discount Code
    • If the discount code is used for dates outside the listed availability, we reserve the right to cancel the booking or require the customer to pay the full standard rate.
    • Customers will be contacted to either make the additional payment or receive a cancellation notice.
  4. Cancellations & Refunds
    • Cancellations made by the participant will be subject to our standard cancellation policy.
  5. Changes & Amendments
    • We reserve the right to modify these Terms & Conditions at any time. Any changes will be communicated to affected customers as necessary.

By booking a 3-day RYA course, you acknowledge and agree to these Terms & Conditions.

Complaints Procedure

Keep Sailing Centres

At Keep Sailing Limited, we are committed to providing high-quality training and ensuring the best experience for all our students. If you have a complaint, we encourage you to follow the procedure below so that we can resolve any issues as quickly and effectively as possible.

Step 1: Informal Resolution

If you have a concern or issue, please speak directly with your instructor or the centre manager (IC) at the earliest opportunity. Many issues can be resolved informally and quickly.

Step 2: Submitting a Formal Complaint

If your concern is not resolved or you wish to make a formal complaint, please submit it in writing to the centre Principal via email (info@keepsailing.co.uk) or letter. Your complaint should include:

  • Your name and contact details
  • The location of the complaint (if applicable)
  • A description of the issue
  • The date(s) of the incident
  • Any relevant supporting information
  • What outcome you are seeking

Step 3: Review by the Principal

The centre Principal will review your complaint and may discuss it with the centre Chief Instructor to determine the appropriate course of action. If necessary, the matter will be raised with the instructor team and Keep Sailing Limited Directors for further input.

Step 4: Investigation and Response

  • You will receive an acknowledgment of your complaint within 5 working days.
  • The Principal will investigate the matter, which may involve speaking with the instructor(s) and other relevant parties.
  • You will receive a formal response within 10 working days outlining any findings and proposed resolutions.

Step 5: Escalation (if necessary)

If you are not satisfied with the response, you may escalate the complaint to the RYA Training Department. You can contact them via the RYA website: www.rya.org.uk.

Confidentiality & Fairness

All complaints will be handled with confidentiality and fairness. No person will be disadvantaged for raising a genuine concern.
